About Us: We are a full service commercial real estate firm specializing in Tenant Representation, Landlord Representation, Investment & Owner-User Sales, Property Management, Construction & Project Management, and Consulting. Our Property Management division is fast growing primarily managing office, retail and mix-used commercial properties in and around downtown San Francisco.
Position Overview: The Property Coordinator provides critical administrative and operational support to the Property Management team. This role ensures smooth daily operations across a portfolio of commercial properties, facilitates tenant communications, coordinates vendor services, tracks maintenance and capital projects, and assists with financial and reporting tasks. The ideal candidate is organized, customer-service oriented, detail-focused, and capable of juggling multiple properties and deadlines in a fast-paced environment.
Key Responsibilities:
· Administrative Support
· Serve as a first point of contact for tenants, vendors, and internal teams; route inquiries, schedule meetings, and maintain calendars.
· Prepare and manage correspondence, memos, property reports, and meeting minutes.
· Maintain organized digital and physical files for each property (leases, service contracts, plans, insurance, certificates of occupancy, etc.).
· Tenant Relations & Communications
· Respond to tenant requests promptly; track service requests and follow up to ensure timely resolution.
· Operations & Maintenance Support
· Assist with on-site property tours, move-ins/outs logistics, and tenant improvements coordination.
· Project & Capital Improvement Coordination
· Assist with scheduling and tracking minor capital improvements and tenant improvements (TI) projects.
· Maintain regulatory and insurance documentation (COIs, permits, safety certifications) and track expiration dates.
Qualifications:
· Education: Associate degree or equivalent experience; bachelor's degree preferred.
· Experience: Entry-level.
